Case Manager, Administrative Support Specialist

Job Purpose

This position provides strength-based, on- going education, motivation, and support to help clients achieve goals related to economic self-sufficiency. Additionally, the position links clients to integrated services and community resources that address their individual financial, emotional, and vocational needs.

Duties and responsibilities

  • Assess client needs, financial situation and ensure the use of government benefits and attend to immediate needs
  • Schedule initial client assessment and intake to ensure they qualify for assistance based on funding guidelines
  • In partnership with the client, identify barriers to self-sufficiency and assess client’s ability to locate other resources
  • Review, assess and determine the level of financial assistance based on circumstances and guidelines
  • Assist clients in applying for SNAP, Medicaid/CHIP, housing, or other applicable resources
  • Support the client in identifying short-term and long-term goals and assist the client in the development of a plan to stabilize situation with the goal of self-sufficiency
  • Support clients in the development and management of a budget
  • Support an integrated client journey by partnering with employment and/or counseling departments when appropriate, and collaborating with staff members in both departments to support the client on their journey towards self-sufficiency
  • Provide referrals and assist clients in navigating eligible services with other agencies to locate additional assistance as needed
  • Maintain active caseload of clients
  • Meet with clients routinely to review progress and accountability
  • Monitor and document client progress towards financial goals and self-sufficiency goals
  • Utilize measurement tools that assess and document client’s financial stability and self-sufficiency.
  • Maintain detailed, up-to-date, accurate, and well-written documentation for client files
  • Manage financial aid funds balancing the guidelines with the needs of our clients
  • Request financial assistance funds for qualified clients, obtain approval and submit to the accounting department
  • Provide emergency food, clothing, and utility assistance as needed through other grant-funded programs
  • Responsible for coordinating financial literacy curriculum and nine workshops throughout the year
  • Develop and maintain relationships with business and property owners, and with professionals to provide discounts, in-kind or pro bono services
  • Maintain positive relationships with community partners and resources
  • Maintain client confidentiality at all times
  • Provide financial coaching to clients when appropriate and participate in the United Way Thrive Coaching Network, provide bi-annual reports of coaching clients
  • Inform community of financial assistance program through public speaking at community events as requested
  • Knowledge of Outlook, Word and Excel. Also the ability to effectively use tools like Zoom to facilitate virtual meetings as needed
  • Utilizing funders software to capture data, client eligibility records and reporting

Qualifications

  • Bachelor’s Degree in Social Work or related field
  • 1-2 years of experience in nonprofit setting is preferred
  • Experience working in case management or within grant funding preferred
  • Experience with interviewing and counseling; assisting applicants in completing forms, determining and advising applicants of eligibility for assistance, and providing or facilitating access to human services assistance.
  • Knowledge and ability to use office productivity software such as Microsoft Word, Excel, and Outlook
  • Knowledge and ability to use video conference tools such as Zoom
  • Knowledge and ability to use document management software such as Adobe

Working conditions

In performing the duties of this position, the employee must be able to have sufficient bodily mobility to accomplish essential functions of the job. Requires bending, stooping, stretching, and some lifting. Must have fine motor skills to perform typing and writing of reports, etc. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions. This position requires a combination of being in the office as well as meeting clients in their home or at local care facilities.

Physical requirements

Must be able to meet routine office physical demands including climbing stairs, carrying up to 20-pound objects and possessing the dexterity and vision to operate office computers and equipment.
